The Accountant logon type allows an external accountant to log on with a subset of security rights.
To add an accountant login only: 1.On the ribbon, go to CardFile > Add CardFile. Enter the user's card code, as well as their name and address details. 2.Untick Customer (if required) and tick User from the selection in the top right-hand corner of the screen. ![]() 3.In the footer, go to the User tab. ![]() 4.Enter the following: ▪the user's initials (two or three characters, including full stop (.) ▪the default stock location (which is used to set the user's location – choose from the drop down list). This will be the default shown when Stock Select is used. ▪the user's security level(s). ▪Select Accountant as the logon type. This allows an external accountant to log on with a subset of security rights. Accountants can log on to Jim2 on premises as they will be set up as accountant-only users. However, Jim2Cloud clients are required to cover the cost of the cloud infrastructure and will be provided with a Jim2Cloud username and password for the accountant. Both on premises and Jim2Cloud accountant logon types do not consume a standard user licence – they have their own licence.
Whilst security can be set for an accountant, certain areas (even if ticked) will not be available. For example, the accountant user can view cardfiles if this is ticked in Security. They will not be able to view jobs, purchases, etc. even if they are ticked. If Add/Edit is ticked, they will not be able to do so either. Following is what is allowed irrespective of other settings in Security, including the above: –View Debtors and Creditors. –View GL Accounts, Transaction Journal, and Account Inquiry. –Add, edit, view, delete/reverse, finish general journals. –View, edit, delete GST Session. –View Multi-Currency Revaluations. –View cheques. –View banking sessions and bank recs. –View till recs. –See management reports and business analysis (the reports they can run are subject to their report level access as per standard Jim2 report security). 5.Click Save or Save & Close. The Confirm User details will pop to screen asking to confirm the password that has been set. This must be entered before the user can be created. The user must change password at next logon box will already be ticked. This can be unticked if desired. ![]()
